Find out how to set up flexible access rules for your facility

With Hello Club you can set up flexible access rules to manage access into your facility, as well as to any internal doors connected to our access control system.

Access can be managed on three levels:

  • Facility wide access rules

  • Membership specific access rules

  • Individual access rules

Setting up facility wide access rules

Facility wide access rules will apply to all members and casuals without membership that don’t have any individual access rules applied to them.

To set up a facility wide access rule:

  1. Go to the System module

  2. Open the Access card

  3. Click on Add access

  4. Select applies to Everyone

  5. Specify the doors, days of the week and times, and press Save when done

You can create multiple access rules if needed, with different rules per door and per day of the week.

Setting up membership specific access rules

For more fine grained control, you can define access rules per specific membership type. This could be handy if you have different access rules for different membership types, for example a weekend or a mid-week membership, and if you want to restrict access for casuals without membership.

To set up membership specific access rules:

  1. Go to the System module

  2. Open the Access card

  3. Click on Add access

  4. Select who the access rules will apply to

  5. Specify the doors, days of the week and times, and press Save when done

As with the facility wide access, you can create as many access rules as needed, with different rules per membership, door or day of the week.

Note: Membership specific access rules are tied to the current subscriptions of a member. This means that the moment a membership subscription expires, those access rules will no longer apply to the member, and they will lose access to the facility immediately, unless there's an access rule for casuals without membership.

Setting up individual access rules for specific members

If you want to customise the access permissions of a specific member, for example to allow them entry to internal doors like the office or bar, you can set up specific individual access rules for that member only.

To set up individual access rules for a member:

  1. Go to your Members in the People module

  2. Find the member you want to manage and click on their name

  3. Open the Access control card and click on the Access rules tab

  4. Click on Add access

  5. Specify the doors, days of the week and times, and press Save when done

You can create multiple access rules if needed, with different rules per door or day of the week.

Note: Individual access rules will overrule any membership specific or facility wide access rules, meaning that even if a membership subscription expires, the access rights of the member will remain unchanged.

Frequently asked questions

How can I disable access for casuals without membership?

There are two ways to disable access for casuals without membership. Firstly, you can set up your default access rule to apply to Members with any valid membership, which excludes casuals by definition:

Or alternatively, you can set up a No access rule explicitly for Casuals without membership, by unselecting all doors:

Which approach to use depends on your use case and on the rest of your access rules, so feel free to experiment a bit to find what works best for you.

How can I disable access for a specific member?

To disable access for a specific member, go to the Access control card of that member and click on Access rules. Create a new access rule for the member, and unselect all doors, which will disable their access:

How can I find all members with specific access rules?

To quickly find out which members have specific access rules, use the filter for Has specific access rules, which can be found under Other of the member filters:

Selecting this filter will bring up all members with individual access rules.

Alternatively, you can also export your members to CSV, and any member which has specific access rules will have a flag to indicate whether they have access to a door or not.
