Assigning member tags and pin numbers

Learn how to assign and manage tags or pin numbers for members to provide them with access to your facility and courts

You can assign tags or pin numbers to your members in order to provide them with access to your facility and to give them the ability to turn on court lights.

Note: Member tags are tags linked to a specific member. If you want to assign tags for non-member use, for example for service providers, you can use service tags instead.

Assigning new member tags

To assign a new tag to a member:

  1. Go to your Members in the People module

  2. Find the member you want to assign a tag to and click on their name

  3. Open the Access Control card

  4. Press the Add tag button

  5. Select the appropriate tag type

  6. Enter a name or identifier for the tag

  7. Enter the tag number

  8. Optionally, you can also specify a validity for the tag if needed

Once confirmed, the new tag will be added to the system and appear in the list of tags for this member. You can add as many tags to a member as needed.

Note: If you are using iButton tags, you can use the supplied USB tag reader to scan the tag at your computer and find out its number. For RFID tags or cards, the number is engraved on the tag or card itself.

Assigning pin numbers

If your facility is equipped with a pin page, you can also assign pin numbers as tags. Simply follow the same steps as for assigning a tag, but select Pin number as the type of tag. A random 5 digit pin number will be generated for you automatically.

Pin numbers will show up in the tag overview with a different icon so you can easily differentiate them:

Temporarily disabling tags

You can temporarily disable a tag to prevent it from being used:

  1. Go to your Members in the People module

  2. Find the member you want to assign a tag to and click on their name

  3. Open the Access Control card

  4. Locate the tag you want to disable

  5. Click on Disable from the tag’s context menu

  6. Confirm you are disabling the correct tag and press Disable again

Disabled tags will appear red in the tag overview:

To re-enable a disabled tag again, follow the same steps but click on Enable in the context menu. Enabled tags will appear green in the tag overview:

Note: You don't need to disable tags for suspended or archived members, as those members will not be able to use their tags, even if those tags are enabled. Once a member is restored or un-suspended, they will be able to use their tags again.

Removing tags

To permanently remove a tag from a member:

  1. Go to your Members in the People module

  2. Find the member you want to assign a tag to and click on their name

  3. Open the Access Control card

  4. Locate the tag you want to remove

  5. Click on Remove from the tag’s context menu

  6. Confirm you are removing the correct tag and press Remove again

Frequently asked questions

What tag types does Hello Club support?

The tag types available to you will depend on the access control system that was installed at your facility, but in general we support the following types of tags:

  • ICT RFID tags or cards (13.56MHz)

  • ICT mobile NFC credentials

  • Legacy 125kHz tags

  • iButton tags (Hawkeye 900 only)

  • Permanent or temporary pin access numbers

A tag I’ve added doesn’t seem to work

Double check that the relevant tag is not disabled and make sure that the member is not archived or suspended. If the tag does not appear to have the right permissions, verify that the member has a valid current membership subscription. If the tag looks damaged, try replacing it with a new tag.

The USB tag reader for iButton tags doesn’t work on my computer

Make sure that the USB tag reader is connected properly to your computer’s USB port and ensure that your keyboard is set to an US keyboard layout. If you’ve upgraded your computer from Windows 7 to Windows 10, you may need to replace your tag reader with a new version.
