Find out how to set up recurring events or classes

Recurring events are a simple way to create a repeating series of events, such as weekly classes or monthly committee meetings.

This guide covers the specifics on how to create and manage recurring events, and it assumes that you are already familiar with the basics of setting up classes or events.

Creating a recurring event

To create a recurring event:

  1. Head to the Events module

  2. Click on the green button in the bottom right to add a new event

  3. Fill out the basic details and then press the Next button

  4. On the Date & time card, select Recurring as the event type.

Note: The type of event can only be chosen when creating an event, it cannot be edited once the event is created.

Once you’ve selected the event type, enter the date and time of the first occurrence of your event and press Next.

On the next page, you will be able to configure the recurrence and choose the frequency of the event, what day or days the event will repeat on and when it should stop repeating:

Events can be set to repeat:

  • Daily
    Every x number of days

  • Weekly
    Every x number of weeks on specific days of the week

  • Monthly
    Every x number of months on a specific day of the month or week

  • Yearly
    Every x number of years on a specific day of the year

Event recurrence can be set to stop:

  • Never
    The event will keep recurring until you stop it

  • After a number of occurrences
    The event will run for a set number of occurrences

  • On a specific date
    The event will run until a specific date is reached

Once you’ve set up the recurrence, continue setting up the rest of the event as you would with any other type.

Attendance for recurring events

When creating a recurring event that’s open for members to sign up to, you will encounter a setting called Recurrence handling on the attendance settings card. You can use this setting to determine if members sign up for the whole event series, or if they can sign up for each event in the series separately:

This setting will also determine if the fees are charged for the entire event series, or per individual event in the series.

Note: This setting is only available for recurring events that are finite, and which have a set number of occurrences.

Changing recurring events

To change a recurring event:

  1. Go to the Events module

  2. Click on the event you want to change or select Edit in the context menu

  3. Make the relevant changes

  4. When prompted, choose what part of the recurring event you want to change.

You will get the choice to change a single event, the selected event and all following events in the series, or to all events in the recurring event series:

There are a few settings for recurring events that will always affect the entire series. For example, if you change the fees or attendance questions, these will change for all instances of the recurring series.

Removing recurring events

To remove a recurring event:

  1. Go to the Events module

  2. Find the event you want to remove and select Remove in the context menu

  3. When prompted, choose what part of the recurring event you want to remove.

You will get the choice to remove a single event, the selected event and all following events in the series, or to all events in the recurring event series:

Frequently asked questions

Can I change the recurrence of an existing recurring event series?

To simplify things, it is not possible to alter the recurrence of a recurring event series. You can only specify a different ending for the recurrence, by adjusting the number of occurrences or changing the end date.

However, if you do want to change the day on which a recurring event series takes place, you can easily copy the existing event and then set it up as a new recurring event series with the changed recurrence. Use the Copy option in the context menu of the recurring event to copy it.
