Find out how to track the vaccination status of your members

To help you manage your members with regionally or nationally imposed vaccination restrictions, we have developed several tools to track the vaccination status of your members, as well as the ability to apply restrictions based on their vaccination status.

Managing vaccination status

To manage the vaccination status of a member:

  1. Head to People > Members and click on the relevant member to edit them

  2. Open the Personal details card

  3. Under Vaccination status, adjust the status as needed. Currently available options are Unknown, Vaccinated, Not vaccinated, Exempt or Expired

  4. Optionally, you can specify a validity period for reference as well

  5. Press Save to confirm

A badge will now show up behind the member’s name in the member overview to indicate that their vaccination status.

This badge will also show up under the list of Event attendees, as well as on the Bookings page, to make it easier to track the vaccination status of members when managing your bookings and events.

Automatically marking members as exempt based on age

You can automatically have the vaccination status of children or members under a certain age be changed to Exempt based on their date of birth.

  1. Head to Settings > Members

  2. Toggle the following setting as needed under Vaccination

  3. Press Save to confirm

If enabled, any member with a valid date of birth whose age matches the exemption age will be set to Exempt. Once their age no longer matches, their vaccination status will automatically be set to Expired.


Note: This check if performed once an hour, so it may take a while until you see the changes reflected in your member data after enabling this setting. New members that register themselves will automatically be marked as exempt immediately if their age matches.

Automatically expiring the vaccinated status

You can choose to have the vaccinated status of a member automatically be changed to Expired once the vaccination expiration date has passed. To enable or disable automatic vaccination status expiration:

  1. Head to Settings > Members

  2. Toggle the following setting as needed under Vaccination

  3. Press Save to confirm

If enabled, the vaccinated status of a member will automatically be changed back to Expired, provided that an expiration date has been entered. If no expiration date has been entered, the vaccination status will never expire.

Note: This setting is enabled by default.

Frequently asked questions

Can members view their own vaccination status?

Yes, members are able to view their own vaccination status on their Profile page.

Can members see the vaccination status of other members?

No, members cannot view the vaccination status of other members. Only staff members (administrators, viewers and event managers) will be able to see the vaccination status of all members.

Can members update their own vaccination status?

Yes, in certain countries members can now self-verify their vaccination status using a government issued vaccine pass with QR code.

To avoid abuse, this is the only way for members to update their vaccination status. In countries where self-verification using vaccine pass is not available, only an administrator will be able to update the vaccination status of a member.

We recommend that you ask your members for verifiable proof of their vaccination status before updating their data.

Can we verify the vaccination status of a member using their vaccine pass?

Yes, in certain countries you can now verify the vaccination status of a member using a government issued vaccine pass with QR code.

Can we restrict access to the facility, bookings or events for non-vaccinated members?

Yes, please refer to our help article on restrictions based on vaccination status.

What do we do about new member registrations?

In certain countries members can now self-verify their vaccination status using a government issued vaccine pass with QR code. This can be done after they have registered and once they can access their Profile page.

For other cases, we recommend implementing a member approval process and manually verifying their vaccination status as needed.
