Find out how to create bookings for your members

As an administrator or event manger, you can create one-off or recurring bookings for other members. This guide will take you through the steps.

How to create a booking for others

In the Bookings module, click on a time slot to start the booking process:

In the dialog that shows up, select booking for Someone else and specify the booking type for this booking:

In the next step you can search for the members by name and if applicable, add visitors to the booking as well:

Add a note to this booking if needed. This will only be visible by administrators and event managers:

In the last step, check that all the booking details and fee are correct. If you don’t want to charge the member for the booking fee at this stage, you can choose to waive the fee. You can also send the members a confirmation email for their records.

Press Confirm booking to finalise the booking.

Booking fees

When you create a booking for another member and choose note to waive the fee, the booking will remain unpaid and will be displayed in red on the bookings page:

You can mark the booking as paid by clicking on the booking to view the booking details, and then clicking on the three dots to the right hand side of the red banner:

This will allow you to mark the booking as paid, or have the member pay for the booking using their coupons or account credit balance.

A member can also pay for their own unpaid booking at any time by clicking on the unpaid booking and following the prompts to pay.

Frequently asked questions

Do unpaid bookings get removed automatically?

Unpaid bookings that were created by a member and were not paid right away will be removed after about 30 minutes. This is done to prevent unpaid bookings blocking other members making a valid booking at the same time.

Unpaid bookings that were created by an administrator or event manager will not be removed automatically and will remain active until they are manually removed.
