Setting Up & Managing Public Bookings

For Standard plans and above learn how to use the public bookings page, where to find it, and how non-members can view and make bookings.

The public bookings page allows non-members and visitors to view availability and make casual bookings without needing a membership or needing to log in.

You can share this page via a direct link, social media, or embed it on your website.

Note: Public bookings do not support free bookings.

How to Enable the Public Bookings Page

  1. Go to Settings module > Bookings

  2. Tick Enable public bookings page

Set Up Activities for Public Booking

To make an activity visible on your public bookings page:

  1. Go to the Activities module

  2. Open the activity you want to make public

  3. Enable Show as bookable activity on the public booking page

This will display the activity on your public bookings page.

Modes

Set up a mode for public bookings and make sure you’ve entered values for both Max People and Max Visitors to ensure it works correctly.

Booking Restrictions
Set guest and visitor booking times for public booking modes (e.g. Visitor)

Fees
Add fees for guests and visitors in the relevant booking modes

Tip: If you’d like to capture visitor names, make sure to enable “Require names for visitors in bookings” within the Activity Details section of your activity.

Note: Public bookings follow the minimum and maximum people limits set in the booking mode. Booking time restriction limits do not apply to public bookings.

How to Access & Share the Public Bookings Page

To view and share your public bookings page:

  1. Go to Bookings module via the Member menu

  2. Click the Public Bookings icon (above the bookings page)

  3. This will open the page in a new tab

You can then:

  • Copy the URL to share directly

  • Embed the page into your website using HTMLL

Tip: You can also access the public booking link via Activities > Activity Details, making it easy to share

How to Enable the PINs for Public Bookings - Hardware

If you use access control hardware, you can enable PIN codes for public bookings:

  1. Go to the System module

  2. Open System Settings

  3. Select the Tags & Pins tab

  4. Toggle on Include public bookings under Generate PIN number for bookings

This will include PINs in public booking confirmations.

If you only want PINs for public bookings:

  • Select Public bookings only from the Generate PIN dropdown

Viewing & Filtering Public Bookings (Admin)

You can view public bookings in:

  • Bookings (Member menu)

  • Bookings Overview (Admin menu)

Identifying Public Bookings

  • Public bookings are highlighted in blue


Viewing Public Booking Booker Information

You can view booking details, such as the customer’s name, phone number, and email by selecting a booking in the calendar or from the bookings overview page.

Filtering Options

You can filter bookings in the bookings overview by:

  • Public bookings (made via the public page)

  • Non-public bookings (made by members or admins)

Exporting Bookings

Filtered results can be exported for reporting purposes.

When exporting bookings:

  • Public booking details will be included in the export (name, email & phone number)

  • This allows you to easily identify and report on bookings made via the public page
