How does the member limit work?
Each of our plans comes with a member limit. Based on the expected active member numbers, we encourage clubs to choose a plan that’s right for them in the long run. However, at the same time we don’t want clubs to worry about needing to pay more if their member numbers fluctuate throughout the year. That’s why we’ve given each plan a little buffer, so that you’re not forced to upgrade your plan right away.
When you hit the member limit for your plan, you will receive an initial warning notifying you that you’ve reached the member limit. As long as you don’t exceed your buffer, you will still be able to add some additional members at this stage.
Once you’ve exceeded the buffer, you will have to either upgrade your plan or archive some inactive members before you can add or import any more new members.
Do archived members count towards the member limit?
No, archived members don’t count towards the member limit. You can archive any inactive members to keep your member overview clean without having to worry about reaching your member limit.
Archived members can always be restored later if needed, with all their details and data still intact.
Do casuals without membership count towards the member limit?
Yes, anyone listed under People > Members who isn’t archived will be counted as an active member, whether they have a current subscription or not.
This is because even without a subscription, a member might still be actively using Hello Club and logging in to make bookings, sign up for events, make payments, download receipts, etc. They will also be eligible to receive emails and other communication from the club.
That means even without an active subscription, casual members still affect our infrastructure and resources, while they also have the potential to generate income for the club. As such, every member, casual or not, is included in the active member count, regardless of the club’s potentially different definition of a "full" member.
Do guests and visitors count towards the member limit?
No, guests signing up to events or temporary visitors do not count towards the member limit.
What are the member limits for each plan?
Our member limits for each plan are as follows:
Entry Plan – 100 members
Standard Plan – 300 members
Premium Plan – 1,000 members
Business Plan – 2,500 members
More members are available on each plan for a surcharge.
Can we stay on our plan but get a higher member limit?
Yes, if you require more members than your plan's hard limit but don't want to switch to a higher plan, you can pay a surcharge depending on how many extra members you need.
The surcharge per member depends on your plan and the currency you are billed in.
