Waitlists for Recurring Events

Learn how waitlists work for recurring events, including joining the waitlist for individual dates or the entire event series

Note: The Waitlist feature is only available on V2 for events that use a free rule and fee.

Manually adding members to the waitlist

For recurring events, administrators or event managers can only manually add members or guests to the waitlist for individual event instances (dates) within the series.

This applies regardless of whether the event is configured as:

  • Attendees sign up for each individual event separately, or

  • Attendees sign up for the whole event series.

Member experience

The waitlist options available to members depend on the Rule and Fee setting for the recurring event.

When attendees sign up for each individual event separately

Members can:

  • Join the waitlist for a single event date.

  • Join the waitlist for multiple selected dates.

If some dates within the recurring series still have attendee availability, members will see which dates are available and can choose to:

  • Register as an attendee for available dates.

  • Join the waitlist for dates that are already full.

  • Select a combination of attendee registrations and waitlist registrations, depending on availability.

If a member cancels their attendance for an individual event instance, only that event instance is cancelled. Their registrations and waitlist status for all other dates remain unchanged.


When attendees sign up for the whole event series

If the event is set to Attendees sign up for the whole event series, members can only join the waitlist for the entire series, not for individual dates.

What happens when they join the waitlist?

There are two possible outcomes:

  • If every date in the recurring series is already full:
    The member will be added to the waitlist for the entire event series.

  • If some dates still have attendee spaces available:
    The member will automatically be registered as an attendee for the dates with available spaces, and added to the waitlist for the dates that are already full.

Example

A recurring event runs on:

  • 1 July – Full

  • 8 July – Spaces available

  • 15 July – Full

If a member joins the waitlist for the entire event series:

  • They will be registered as an attendee for 8 July

  • They will be added to the waitlist for 1 July and 15 July

Even though some dates still have spaces available, the member cannot choose individual dates because the event is set up as sign up for the whole event series.

If the member later cancels either their attendance or their waitlist registration for the recurring event series, all attendee registrations and waitlist entries for the series are cancelled.

Email Notifications

The member will receive an email confirmation showing:

  • The dates they have been confirmed as an attendee.

  • The dates they have been placed on the waitlist for.
