Waitlists for Multi-Day Events

Learn how waitlists work for multi-day events, including joining the waitlist for individual event dates or the entire event.

Note: The Waitlist feature is only available on V2 for events that use a free rule and fee.

Manually adding members to the waitlist

For multi-day events, administrators and event managers can only manually add members or guests to the waitlist for individual event dates within the series.

This applies regardless of whether the event is configured as:

  • Attendees sign up for each day of the event separately, or

  • Attendees sign up for the whole event.

Member experience

The waitlist options available to members depend on the Rule and Fee setting for the Multi Day event.

When attendees sign up for each day of the event separately

Members can:

  • Join the waitlist for an individual event date.

  • Join the waitlist for multiple selected dates.

If attendee spaces are available on some dates within the multi-day event, members will see which dates still have availability. They can then choose to:

  • Register as an attendee for the available dates.

  • Join the waitlist for the dates that are already full.

  • Select a combination of attendee registrations and waitlist registrations, depending on availability.

If a member cancels their attendance for an individual event date, only that date is cancelled. If they are registered or waitlisted for multiple dates in the multi-day event, their attendee and/or waitlist status for all other dates remains unchanged.

When attendees sign up for the whole event

If the event is set to Attendees sign up for the whole event, members can only join the waitlist for the entire multi-day event, not for individual dates.

What happens when they join the waitlist?

There are two possible outcomes:

  • If every date in the multi-day event is already full:
    The member will be added to the waitlist for the entire event.

  • If some dates still have attendee spaces available:
    The member will automatically be registered as an attendee for the dates with available attendee spaces, and added to the waitlist for the dates that are already full.

Example

A 3-day event runs on:

  • Day 1 – Full

  • Day 2 – Spaces available

  • Day 3 – Full

If a member joins the waitlist for the event:

  • They will be registered as an attendee for Day 2

  • They will be added to the waitlist for Day 1 and Day 3

Even though some days still have spaces, the member cannot choose individual days because the event is set up as sign up for the whole event.

If the member later cancels either their attendee registration or their waitlist registration for the multi-day event, all attendee registrations and waitlist entries for the event will be cancelled.

Email Notifications

The member will receive an email confirmation showing:

  • The dates they have been confirmed as an attendee.

  • The dates they have been placed on the waitlist for.
