Filter and Resend Welcome Emails to Inactive Members

Follow these steps to find and resend welcome emails to members who haven’t logged back into the Hello Club portal since the upgrade.

  1. Log into your Hello Club admin portal

  2. Filter for members who haven't activated their account

    2.1. Go to the People module.

    2.2. Click the filter icon (located to the right of the search bar along the top).

    2.3. In the side panel that slides out, find the INACTIVE FOR dropdown menu.

    • Select More than two weeks if your club upgrade date was after 12 November 2024.

    • Select More than a month if your club upgrade date was on or before 12 November 2024.

    2.4. Close the filter by clicking the X icon.

  3. Resend welcome emails

    3.1. Hover over the green plus button in the bottom right corner of the screen.

    3.2. Select the first icon Send welcome emails.

    3.3. In the popup, click the SEND WELCOME EMAILS button to confirm.

    Note: The "Haven't received a welcome email in the past 3 weeks" requirement has been temporarily waived, even though it’s still displayed in the popup.

  4. Encourage members to activate accounts

    Encourage your members to activate their accounts and log back into the portal after receiving the welcome email. To help spread the word, consider sharing the following example message with your members through:

    • Posting it on your website

    • Sharing it on your Facebook page or group

    • Sending an email to the same filtered list of inactive members (refer to Step 2)

    **Example Message for Club Admins to Send to Inactive Members**

    Subject: Let's get you back into the portal!

    Hi {member first name},

    Our club portal has recently been upgraded, and to access it, you’ll need to activate your account. It only takes a few minutes!

    Here's how to do it:

    1. Check your inbox for an email called "Welcome to {your club name}, {member first name}".

    2. Open the email and follow the steps to activate your account in a browser.

    Once your account is activated, you’ll be able to keep managing your memberships and bookings online anytime, anywhere.

    If you can't find the welcome email or get stuck, just let us know.
