How to give activity permissions to specific members

In Hello Club Version 2, the Activities tab has been removed from the Permissions, Roles & Sign-in Details section. To assign activity permissions to specific members, follow the steps below.

1. Create a New Free Membership Type

Go to the Membership Types module. Give it a clear title, and select which Activity this membership can be used for.

Set it to an Unlimited term, as you want this to always be allocated to a member.

In the Conditions & fee section, keep this membership at no fee. In the Options section, untick all options so members cannot purchase or select them.

In the Registration tab, untick "can be selected by new members during registration". This ensures that no member can select this for themselves; it has to be assigned to a member by an admin.

Click "Next" on the Benefits section and complete the setup of this membership type.

2. Configure Your Activities Module

Go to your Activities module and click on the relevant activity. Check the Modes section to ensure you have a mode set up for the permission you want to assign.

In the Booking Time Restrictions section, be sure to add a time restriction for the new membership type you’ve created. This will specify when bookings can be made for that membership.

2.1. Click the ADD BOOKING TIME RESTRICTION button:

2.2. In the APPLIES TO field, select Members with a specific membership and select the new membership type you created:

2.3. Select the allowed mode, for special permission. And set the days and times you want this mode to be able to be booked:

2.4. On the next page, you can set a weekly booking limit for how many times each person can book this mode. You can also adjust any other booking settings as needed:

This booking setup will then be saved, and you will see a line for it under your Booking time restrictions:

3. Applying This Membership to the Relevant Members

3.1. Go to your People module, and search for the member you want to have this permission. On their profile, go into the Memberships, coupons & hireables section:

3.2. Click ADD MEMBERSHIP:

3.3. From the MEMBERSHIP TYPE dropdown, select the new membership type you created at the start. (We recommend unticking the option to Send an email to notify the member of this membership):

Once you save this, the member will have this membership allocated to their profile indefinitely until an admin removes it—if required in the future. They will now have access to this specific booking permission.
